Work Study Office Assistant – Workforce Education Services (WES)

What is Work Study? You are eligible for Work Study if you receive Financial Aid.
Schedule: Flexible Hours per Week: Up to 19 hours (on-campus) Wage: Work-study range ($16.28)

Position Description
The Office Assistant will provide front-line customer service for clients and students, provide organizational office support to the WES Program Manager and Support Center office staff, and be responsible for a variety of office support tasks.

Work Location: Support Center, Building 1
Reporting directly to the WES Program Manager

Essential Tasks

  • Assist front desk reception areas for in-person support centers.
  • Triage, guide, and assist students in Workforce Education Services, Transition Center, Wish Program, Working Student Success Network—Benefits Hub programs, and community partners.
  • Perform receptionist duties when needed.
  • Prioritize tasks in a multi-phone line system and fast-paced environment.
  • Sort and distribute communications promptly.
  • Assist in scheduling and planning meetings and appointments.
  • Assist the program manager to maintain supply inventory in preparation for ordering.
  • Creating, maintaining, and entering information into databases as needed.
  • Provide excellent customer service and culturally respectful interaction.
  • Assist students with general college navigation and the WES quarterly funding application.
  • Help organize and maintain office common areas.
  • Multilingual individuals may be assigned to interpret at special language cohort orientation and WES application sessions, evenings, and weekends.
  • Special projects as assigned.

Preferred Skills & Abilities

  • Proficiency in Microsoft Office Suites.
  • Prioritize multiple tasks and deadlines.
  • Ability to work with a diverse population.
  • Bilingual/multilingual.
  • Knowledge of ESOL/GED/ABE/High School Re-Engagement Program student.
  • Knowledge of the Workforce Education Services Funding Process.
  • Responsible, professional, flexible, and dependable
  • Strong organizational skills.
  • Able to work independently and as part of a team.
  • Capacity for discretion and privacy regarding sensitive student information (FERPA).
